Campaign Tracking in Exceed!

We are excited to tell you about the new campaign features that are included in Exceed! Premier v.7.0, soon to be released. This new module will enable you to accomplish many of the steps outlined in Lilly Skok Bunch's article on how to setup an effective campaign. Of course it won't write your case statement for you, but it will easily handle the database tasks!

There are many reports in Exceed! that will help you set a realistic goal. Several are found in the Statistics section of the Reports screen. In both Exceed! Premier v7.0 and Exceed! Basic v3.0, you will be able to "drill down" from these reports to see the list of gifts that make up the totals.

You might want to revise your Size Table (that is used for the Gifs by Size reports) to match the gift ranges that you have used to plan your campaign. In Exceed! Premier v7.0 you can tie the Size Table to a Campaign code and create a separate set of categories for each campaign. The Size Table categories are specified in Application Setup.

The Gifts by Size report will tell you how successful you have been in the past bringing in gifts at the levels you'll need.

If you are running a capital campaign, the Prospect Research Module interfaces seamlessly with several prospect research websites to enable you to dig down and find those important details about the people on your list. The capacity ratings will help you set the right ask amounts. More importantly, the information about gifts to other organizations and board connections allow you to frame your story in a way that connects most closely to the prospect's interests.

Once you have set your goal, you can use the Gift Range Calculator in Exceed! Premier v7.0 to create ranges and determine how many gifts you'll need in each range. This will also tell you how many prospects you should have to increase the probability of having enough donors.

Using the new Campaign Manager, you can then segment your prospects, adding each segment to the campaign, assigning an ask amount and a solicitor to each prospect. The ask amounts you assign will then place the prospects into the proper gift category so you can see how many you have at each level.

As you and your volunteers work through the campaign cycle, you can keep track of each stage for each prospect. You can create Actions for your volunteers (and yourself) to keep things moving along from cultivation to solicitation to stewardship. By sorting on the ask amount, you can highlight those high-level prospects who may be falling through the cracks. As gifts and pledges come in, it's easy to track progress against your goal - not just overall, but at each level.
